Privacy Policy
This policy explains what information Time-Clocking collects on our website and in our iOS and Android apps, why we collect it, and the choices you have.
Last updated: 12 October 2026
Who this applies to
Time-Clocking is used by employers (companies and their managers) to record their employees' working hours. For timesheet data, the employer decides why it is collected and how it is used; we process it on their behalf. For website visitors and account holders, Time-Clocking is responsible for the data described here.
What we collect
- Account details: name, email address, optional phone number, company name and your role (manager or employee).
- Work records: job sites, which sites you are assigned to, and each shift's clock-in time, clock-out time, total hours and notes.
- Location at clock-in: when you tap Clock In, your device's location is read once to check you are within the selected job site's approved area. See below.
- Billing details (managers only): subscription status and plan. Card details are handled by our payment provider, Stripe, and are never stored by Time-Clocking.
- Contact form messages: the name, email and message you send us.
- Website analytics: only if you accept analytics cookies on our website. The apps do not use analytics or advertising tracking.
How location is used
- Location is requested only when you tap Clock In, and only while you are using the app or website ("while using" permission).
- It is checked once against the job site you selected. We do not track your location during your shift, after clock-out, or in the background.
- The single clock-in reading (coordinates, accuracy and distance from the site) is saved with that shift as proof the clock-in was verified. It is not shown to other employees, and the app shows managers the verification result rather than a map of where you were.
- If you refuse location permission you can still sign in and view your hours, but you won't be able to clock in at a site that requires verification.
Why we use your information
- To provide the service: sign-in, clock-in and clock-out, timesheets, reports and CSV exports.
- To confirm clock-ins happen at the correct job site.
- To manage subscriptions and payments.
- To answer messages and keep the service secure.
Who we share it with
- Your employer: managers in your company can see your shifts, hours and clock-in verification results. Employees see only their own records. Other companies can never see your data.
- Service providers: our hosting and database provider, Stripe for payments, our email provider for account emails, and Google Analytics on the website only with your consent.
- We do not sell personal information and do not use it for advertising inside the apps.
How long we keep it
Records are kept while your employer's Time-Clocking account is active. When a company account is deleted, its job sites, employees and shift records are deleted. When an individual employee deletes their account, their login and profile are deleted; past shift records stay with the employer, who may need them for payroll and legal record-keeping, with the employee's name and contact details removed.
Your rights and deleting your account
You can ask for a copy of your data, ask us to correct it, or delete your account. Account deletion is available in the app and on our delete your account page. If your employer manages your records, you may also contact them directly. In the UK you can complain to the Information Commissioner's Office (ico.org.uk).
Children
Time-Clocking is a workplace tool and is not intended for children under 16.
