What to Do When Employees Forget to Clock Out

By Time-Clocking · 4 min read

Every business that tracks time runs into the same issue: someone finishes their shift, gets in the van or gets on the bus, and the clock keeps running. Handled badly, it creates payroll arguments. Handled well, it takes a minute a day.

Spot it the same day, not on payday

The cost of a forgotten clock-out is entirely about when you find it. Found the same day, you can ask the person what time they finished and correct it while they remember. Found three weeks later during payroll, it becomes a dispute.

Build a thirty-second habit: at the end of the day, glance at who is still shown as working. Anyone still open who has clearly gone home gets corrected there and then.

Correct it transparently

  • •Ask the employee for the finish time rather than assuming one.
  • •Make the correction yourself as the manager, so there is a single accountable record.
  • •Tell the employee the shift has been corrected and to what.

Letting employees silently edit their own finished shifts removes the point of tracking time. Letting managers correct them openly keeps the record accurate and trusted.

Reduce how often it happens

  1. 1.Make clocking out one tap on the screen people already have open.
  2. 2.Show each person their running total for the day, so an obviously wrong number is visible to them too.
  3. 3.Tie the habit to something physical — clock out before you pack the tools away, not after.
  4. 4.Review open shifts at the same moment every day so nothing carries over a weekend.

How Time-Clocking handles it

Only one shift can be open per employee at a time, so nothing can be double-counted. Employees see today's and this week's totals on their clock screen, and managers can see and correct their company's time entries. The corrected times feed straight into your reports and payroll export.

You can try it with your own team free for 14 days.

Track your team's hours with Time-Clocking

Staff clock in and out from their phones, their location is checked at clock-in, and managers review recorded hours. CSV exports are available from Business upwards for a separate payroll process. Free for 14 days, no card needed.
